This Refund & Cancellation Policy explains when you may cancel an order, request a refund, or request corrections to a completed translation.

By placing an order with USCIS Translation Service, you acknowledge and agree to this policy.

1. Cancellation Before Translation Work Begins

You may request cancellation of your order before translation work has started.

If we receive and approve your cancellation request before the order has been assigned to a translator or work has begun, you may be eligible for a full refund of the translation service fee.

To request a cancellation, contact our support team as soon as possible and provide your order number and the email address associated with the order.

We will review the status of your order and confirm whether the cancellation qualifies for a refund.

This approach is consistent with major translation providers that generally allow full cancellation when a project has not yet been assigned or started.

2. Cancellation After Translation Work Has Started

If translation work has already started, you may still request cancellation.

However, because professional translation is a customized service, the refund will generally be based on the amount of work already completed.

For example:

  • Work has not started: You may be eligible for a full refund.
  • Work is in progress: You may be eligible for a partial refund based on the work completed.
  • Translation has been completed: The translation service fee is generally non-refundable.

The exact refund amount will depend on the status and scope of your order at the time we receive the cancellation request.

This prorated approach is also used by established translation providers.

3. Completed and Delivered Translations

Once your translation has been completed and delivered, the translation service is generally non-refundable.

This is because the service involves customized professional work performed specifically for your documents.

However, if you believe the delivered translation contains a genuine translation error or omission, please contact us. We will review the issue and, where appropriate, provide a correction or revision at no additional charge.

4. Translation Errors and Quality Concerns

We stand behind the quality of our translation services.

If you believe that a translation contains an error, omission, incorrect translation, or other issue attributable to our translation work, contact us with:

  • Your order number
  • The specific issue you identified
  • The relevant portion of the source document
  • Any supporting information that may help our team review the issue

Our team may review the translation against the original document.

If an issue is determined to be a genuine translation error within the scope of the original order, we will generally provide a correction or revision at no additional charge.

Where a material quality issue cannot reasonably be resolved through revision, we may consider an appropriate partial or full refund.

Major translation providers similarly use revision/correction as the first response to genuine quality concerns rather than automatically refunding every completed order.

5. Revisions Requested by the Customer

We are happy to review reasonable revision requests.

A revision may be provided when the requested change relates to:

  • A translation error
  • An omitted portion of the original document
  • Incorrect translation of names or information
  • A clear discrepancy between the source document and translation

However, a revision request may not qualify as a free correction when it involves:

  • Changes to the original document
  • New information not present in the original document
  • Additional pages or content
  • A newly uploaded document
  • Substantial formatting changes
  • A different translation style requested after completion
  • A change in the target language
  • Personal wording preferences where the original translation is accurate

Such requests may require an additional fee.

6. Incorrect or Updated Source Documents

You are responsible for providing the correct and complete document before translation begins.

If you provide an incorrect document and later request translation of a different document, the new document may be treated as a new order.

Similarly, if the original document is updated or corrected after translation has been completed, changes to the translation may require an additional charge.

We recommend carefully reviewing your uploaded documents before submitting your order.

7. Turnaround Time and Refund Requests

Our website may provide estimated delivery times for standard and rush services.

We make reasonable efforts to meet the estimated turnaround time, but delivery times can occasionally be affected by factors such as:

  • Document quality
  • Missing information
  • Incorrect language selection
  • Unusual document complexity
  • Additional client instructions
  • Translator availability
  • Technical problems
  • Circumstances outside our reasonable control

If we materially fail to deliver an order within the applicable promised service timeframe, contact our support team so that we can review the order and determine whether a refund or other remedy is appropriate.

An estimated delivery time is not automatically a guarantee unless the specific service purchased expressly states that it is guaranteed.

8. Rush Translation Orders

Rush orders receive priority processing based on the service selected.

Because rush orders may be assigned and processed immediately, cancellation requests should be submitted as soon as possible.

If work has already started on a rush order, the applicable refund will generally be calculated based on the amount of work completed.

If the rush translation has already been completed and delivered, the translation fee is generally non-refundable, subject to our quality-correction provisions.

9. USCIS or Government Rejection

USCIS Translation Service does not guarantee approval of an immigration application or acceptance of a translation by USCIS or another government agency.

A government agency may reject, request additional evidence for, or otherwise question an application for reasons unrelated to the translation.

Therefore, a USCIS, immigration, court, university, or other agency decision does not automatically qualify an order for a refund.

However, if you believe the receiving organization identified a specific translation error attributable to our work, please contact us. We will review the issue and determine whether a correction, revision, or other remedy is appropriate.

This distinction is important because translation acceptance and immigration approval are ultimately determined by the receiving organization. Competitors that offer specific acceptance guarantees generally limit those guarantees to defined circumstances and organizations.

10. Refunds Due to Translation-Related Issues

A refund may be considered when:

  • We are unable to provide the service you purchased.
  • We cancel the order before work begins.
  • A material translation error cannot reasonably be corrected.
  • We materially fail to provide the service within an expressly guaranteed timeframe.
  • We otherwise determine that a refund is appropriate under the circumstances.

Refunds are not guaranteed in every situation and will be evaluated according to this policy and the circumstances of the order.

11. Non-Refundable Situations

A refund generally will not be provided solely because:

  • You changed your mind after the translation was completed.
  • You no longer need the translation.
  • Your immigration application was denied for reasons unrelated to our translation.
  • USCIS or another organization requested additional evidence unrelated to a translation error.
  • The original document contains incorrect information.
  • You provided incorrect names, dates, spellings, or other information.
  • You uploaded the wrong document.
  • You later changed the requirements of your application.
  • You request substantial changes outside the original order.
  • You are dissatisfied with a linguistically valid translation solely because you prefer different wording.

These exclusions are broadly consistent with how major translation providers distinguish translation-quality issues from customer preferences, source-document problems, and government decisions.

12. Optional Services

If your order includes optional services such as:

  • Notarization
  • Physical copies
  • Shipping
  • Additional certification
  • Additional formatting
  • Other supplemental services

refund eligibility for those services may depend on whether the service has already been provided.

Services that have not yet been provided may generally be eligible for a refund when the underlying order is cancelled.

Services already completed or delivered may be non-refundable.

15. Refund Processing

The time required for the refund to appear in your account may depend on the payment processor, bank, card issuer, or other financial institution.

Once we initiate an approved refund, processing times outside our control are not the responsibility of USCIS Translation Service.

16. Duplicate Payments

If you believe you have accidentally paid for the same order more than once, contact us as soon as possible.

After verifying the duplicate transaction, we may refund the duplicate payment where appropriate.

17. Fraudulent or Unauthorized Transactions

We reserve the right to investigate transactions that appear fraudulent, unauthorized, or inconsistent with our payment and security requirements.
